October 27, 2007 Meeting Summary

Attendees: Krista Ghaffarian, Marcie Crawford, Christina Ensminger, Bobbie Platt

Planning a Children's Rec. "Volunteers Party"...a get together "Thank You" for those who have given their time and energy to the various children events in the community.

  •    Party to be held at Krista's Home on Friday - Nov. 30th
  •    We have approx. 40 volunteers to mail party invitations to...to be complete by  Nov 5th!
  •   Order food trays from Publix & Serve only beer & wine
  •  Krista created a really nice design for a magnet (business card size) to thank those who have supported the Chidren's Rec...we need to place magnet order asap!  We will also mail personal "Thank you" cards along with the magnet to those volunteers

 Fundraiser Mailout.

  • Cost= Approx. $1,100.00 (to have Kinko's complete the project, printing, folding, stuffing, labeling and mailing/stamps)
  • Bobbie will go to Kinko's this week to get a final written estimate of this cost 
  • As a group, we read and reviewed the Fundraiser Letter to be mailed out to the community...made some adjustments, etc... (Krista will make final revisions) 

Brainstorming Ideas:

  • Discussed ways to do future "Fundrai$ing" throughout the year...I.E. bake sales, raffles, etc...   
  • Should we do another Movie Night? What age group do we target?  Would this be a good event that is aimed towards older kids of the community?
  • Krista received positive feedback after the last Movie Night....maybe we should do a couple of them during the year?
  • Should we do quarterly Birthday parties instead of Monthly? We all agree that Monthly may be too much and not as 'significant' as quarterly??  {To be Discussed....}

 SANTA  BREAKFAST....HO HO HO  

  • Scheduled at the Country Club on Sunday Dec. 2nd
  • We need to reserve Santa and his sleigh, the button lady and Raggedy Ann (or clown)  (NOTE: Santa is NOT to ask for donations for any charity...he is simply there to be "Santa")
  • Choose a theme ...we discussed doing a "Snowman" theme  instead of the previous years Nutcracker theme ... (Good idea Bobbie!)  This one could be cute!!
  • Need to order the craft from Oriental Trading Co. (we have some left over from last year too)
  • Children will be Free / Adults charged $12 each
  • A Charity Table (SimonsAngels) for the children in ICU at Miami Children's Hospital...everyone to bring a toy to donate. This is all about children helping children and families sharing with others who are in need  Get everyone you know to donate a toy and bring them to the Santa Breakfast . (Christina will be asking those outside the community too  to donate toys).  FYI: There are lots of $5 & $10 toys out there..try Ross, Beals, Target, Walmart, The Dollar Store, etc... Too late to inform everyone in the SC Update but will advertise on channel 2, word of mouth, ...
  • Christina will get more details from Lisa Bradley regarding the SimonsAngels Foundation in order for the CRC to get the word out on channel 2...
  • (More details to come...)

TOY PARADE

  • Will we do a float in the Toy Parade? A Children's Rec. float & a Fitness float??  (To be decided....)
  • Should we ask to have the (hay ride)  trailer donated again to help us do a float for the kids to ride on??  (Marcie will inquire)
  • Toy Parade is scheduled for Dec 8th (the weekend after the Santa Breakfast)

***Our Next CRC Meeting Scheduled for next Sunday Nov. 4th at 10:00am***

Agenda: Prep Invitations for Volunteers Party scheduled for Nov. 30

                Finalize details for Santa Breakfast scheduled for Dec. 2nd

                To do a float or no float for the parade...scheduled on Dec. 8th (maybe simply decorate a golf cart and have the children follow behind in wagons, bikes, etc...?)

August 25, 2007 Meeting Summary

In lieu of official minutes, here is some summary information.

Also, I thought I would briefly summarize the items that each of us offered to work on over the next few weeks.

Krista: Finalize order & contract with Dolly's Fun Toys for rockwall, food machines etc., check with POA about activity at the tree & what we need to do to have the event there, call Keith & Sal to work on the Golf Cart obstacle course activity, follow up regarding budget meetings with POA, follow up with Humane Society about bring the dogs & puppies, call the actor guy about interest in being involved.  I will also work on ordering more t-shirts for the birthday party.  I will email volunteers looking for help at the birthday party & the fall carnival.

Marcie: Finalize details regarding hay ride including pricing hay, call around for a clown to get pricing and availability.  Check into using Kinkos to do the fundraiser, prices and possible discounts & sponsors.

Christina: Look into purchasing pumpkins for the pumpkin craft, pricing and availability.

Mary:  Work on signs for the event.

Grace: Determine other details that need to be done for the Support the Troops booth, overseeing this activity.

In case you missed it we scheduled the next meeting for Sept 22 at 10am.  Please try to have these above items taken care of for that meeting.  If you need info in the meantime, of course, just contact me.  Hopefully this meeting will be just finishing up last minute details for the Fall Carnival and a little regarding the Fund Raiser.

July 7, 2007 Meeting Minutes

Saturday- July 7,2007 @ 9:30am

(Mary Seagrave had prior obligations and was unable to attend this meeting. However, she prepared some fantastic notes that were presented at our meeting and were very helpful in planning future events. Thank you Mary!)

 #1  July Birthday Party is scheduled for Sunday - July 15th @ 2:00 (at the playground)

 Planning & Organizing the party

                 Krista : Contacting volunteers to help organize &  supervise and will put the ad on channel 2 to inform the community

               (Unfortunately, Krista is unable to attend this party  but,will follow up on the planning of the event. We'll miss you Krista!)

                Christina: Prepare and mail the invitations to those children celebrating a birthday in July (We have 20 on our list)

                                 Put together the treat bags for the kids

                                Bring a Fruit Bowl

                                Bring hoses for the water toys, etc...

              Marcie: Inform POA that grassy area by playground needs to be sprayed for bugs &  a mound of fresh sand is needed on the playground

                           Locate Limbo stick

                           Bring cupcakes

                           Joe will bring the ice (Thank you Joe!)

            Bobbie: Will oversee and assist with the craft. We will be making "Hello" and "Thank You" cards to send to our troops overseas.

 In honor of Independence Day ...we  want to show our troops how grateful we are to them.  

                         Bring Veggie Plate

                         Bring music player for limbo game

           Mary: Will post signs at each entrance and remove after the party

         Ginny: Will be out of town but, will be contributing a baked treat for the kids (Thank you Ginny!)

 NOTE: As a team we all agreed we will plan to continue with the Monthly Kids Birthday Parties (even in the Summer slower months)  but, will no longer schedule a rain date. Rain dates will only be scheduled and posted for larger events (i.e. Easter, Back to School Party, Fall Carnival...)

FYI: Next year for Summer Birthday parties we may adjust the scheduled time to late morning due to weather...?

#3 Preparation & Planning for Fall Carnival.. Event to be held on October 6, 2007 @4-7pm

                                            Adopt-a-Dog/Cat Booth sponsored by The Humane Society

 #3 Discussed the upcoming Children's Recreation Annual Fundraiser  (to take place late Sept. -early Oct.)

·                    Budget Concerns...

·                    Cost for Fundraiser is approx. $600-$700 (address labels, stamps, stationery ...)

·                    Possible POA Contribution to help with these fees?

 Goal: Children's Rec.members to appear at POA Meetings in the future (as often as possible) to communicate ideas  and be involved   

           E-mails sent to David Slayback regularly to inform of event planning and details...

 A big "THANK YOU" to Marcie Crawford for attending the last POA Meeting and communicating our ideas with the POA members.

Thank you Marcie!     { Note:The POA Meeting is held on the 2nd Tuesday of every month}.

 The Next Children's Rec. Meeting is scheduled for Saturday-  July 28th @ 10:00am (1701 Skyhawk Ct.)

We welcome those who want to attend and share your ideas.

REMINDER: Our August Birthday Party will be combined with The Back To School Party on August 12 on the playground (2-5pm)

It's a PIRATE THEME so, bring your "booty" to the party!    :o)

June 2, 2007 Meeting Minutes

 Opening Discussion:

·                   Overall Annual Budget Status

·                    Bounce House fund raising (to purchase or rent?), liability concerns, etc...

·                   Jack suggests the CRC members attend POA Board Meeting monthly (every 2nd Tuesday)

·                   Jack also suggests sending David Slayback (POA Mgr.) any details from CRC planning (i.e. specifics regarding such CRC activities as  playground Birthday parties and any other planned events)

·                   Research and Review the history and safety aspects of the kids Bounce House, insurance possibly provided, and liability concerns as to who is responsible? POA? Parents?

·                   Jack informed the CRC that he would review the concerns with The Board and report back to the CRC  by the end of next week (June 8, 2007)

·                   The CRC appreciates Jack attending the meeting and sharing his thoughts! Thank you Jack!  ( Although his wife will most likey see this e-mail before he does!)  :o)

Budget Status:

·                   The CRC is right on track for its community planned events. Events are organized and planned for the kids on a monthly basis and the CRC is doing their best to make excellent usage of the contributions made by the community. We are almost half way through our 2007 year of planning and the events have been a real success!  The CRC sincerely thanks the community residents for their  generous contributions.

·                   The next Children's Recreation Annual Fundraiser for 2008 will be held in October! 

·                   Each Committee/Volunteer member to keep envelope with name on it to submit their expense receipts

The next Monthly Kids Birthday Party will be held at the Playground on Sunday June 10th @ 2:00pm

·                    Krista: Confirm with Karate class, Raggedy Ann and Pattie Cake

                    Ad for Channel 2

                    E-mail potential volunteers to bring snack treats

                    Bringing water, juice boxes, napkins, etc...

·                   Christina: Sending Invitations to those kids celebrating

                        Creating  Gift Bags for all kids attending

                        Will bring additional treats to eat (to confirm later)

·                   Marcie:   Bringing treats to eat (to confirm later)

·                   Mary:    Will Post signs at SC entrances as community reminders

                     Planning to do a Flower Craft with the kids (Marcie will also help)

·                   Discussed the budget for the August 2007  Back to School / Birthday Party Combo event

Fall Carnival Planning:

·                    Discussed some details for the Fall Carnival...activities to be scheduled, date to plan the event (Sept. vs. Oct. ?) , confirming with individuals involved, finalizing budget preparations, etc...(more details to be discussed at next meeting)

·                   Marcie to verify possible hay ride activity? And contact community resident for possible 'character'  appearance?

·                   Krista to Contact Humane Society about "Adopt-a- Dog/Cat" idea?

May 5, 2007 Meeting Minutes

                               CRC Meeting May 5th @ 9:00 a.m.

 ATTENDEES: Krista Ghaffarian, Christina Ensminger, Mary Seagrave and Bobbie Platt

1. Discussed CRC Financials/Budget planning for remainder of the 2007 year

2. May 20th(Sunday)-- Our next Kids Birthday Party!  (2:00 at the playground)

          Krista will place ad on channel 2 ( also informing parents to pick up the pottery made by kids last month and the month prior)  

          Christina will continue preparing the treat bags and the invitations to be mailed to those celebrating a B-day                     

           Mary will prepare the signs for both SC entrances

           Bobbie will plan to set up another pottery table  for the kids (Thank you Bobbie! The kids LOVE it!!)

           Raggedy Ann may not be attending the next couple/few Birthday Parties due to busy schedule and out of town.

            Patty Cake will be at the May Birthday Party    Yea!!!  :o)  (We missed her last month)

3. Discussed the Annual Back to School Party combined w/ August Birthday Party...Tentative date set for Sunday August 12th!

4. Planning to "theme" the Birthday Parties more...{i.e. May could be a Flower theme, July could be a Patriotic theme, etc...}

 5. HELP!!!!   WE NEED A BOUNCE HOUSE!!!    THE KIDS NEED A BOUNCE HOUSE!

......How to purchase? (approx. $2,000)

.....Community Fund raiser, Community bake sales, etc...?

......Available POA monies?

......Possibly inquire w/ The Country Club in helping to purchase a bounce house to share at events within the community?

......Rent one for each event? (Is this cost effective ?)

......Is any SC resident(s) willing to purchase and have their personal logo put on the Bounce House for advertising ?

 (It's for a good cause!)  :o)

 6. Begin the plans for a Back to School Party/ August Birthday party....Tentative date is scheduled for August 12th
